A digital proof of delivery is an electronic record of a completed delivery. It replaces the need to wait for a paper docket to return to the office before the delivery details can be checked.

What a digital delivery record can contain

  • The customer and job reference
  • What was delivered or collected
  • The quantity recorded for the job
  • The collection and delivery locations
  • Relevant dates and times
  • The vehicle and driver
  • Photos, signatures or documents used for that workflow

What the driver does

The driver opens the assigned job—or starts the appropriate self-service workflow—and follows the short sequence shown in the app. The steps depend on the work being completed. A delivery, muck-away movement and ready-mix pour do not need exactly the same information.

When the record is submitted, the office can see the completed job without waiting for a paper docket to come back in the cab.

What this changes for the office

Delivery information remains attached to the correct job. Accounts can find the supporting record when preparing an invoice, and the office can answer customer questions without searching through paper, phones and messages.

A digital record does not guarantee payment or remove every possible query. Its practical value is that the information captured during the work is organised and easier to retrieve.

What to check before choosing a system

  • Can drivers complete it quickly?
  • Does it work with poor signal?
  • Can different jobs use different steps?
  • Can the office search by customer, job, date or vehicle?
  • Do photos and sign-off stay with the job?

See it with your own work

Use a normal job from your business. Check what the driver records, what reaches the office and how the completed record can be found later.
