Find the completed job

The first requirement is simple: the office should be able to locate the relevant completed record without waiting for a docket book to return or searching unrelated messages.

Review the movement information

Depending on the workflow used for that job, the completed record can contain the customer and job, material, quantity or weight, collection and delivery information, relevant times, driver, vehicle and references recorded for the movement.

Keep supporting evidence with the job

Where photographs, notes, signatures or other supporting information were captured as part of the workflow, keeping them with the correct movement reduces the need to match them afterwards.

Retrieve PODs when a customer asks

Use the record in accounts work

Having the completed delivery information available does not guarantee that an invoice is correct or will be paid. It can reduce the earlier administrative problem of accounts waiting for paper or searching for supporting evidence.

Use the record as evidence without overstating it

A digital record shows what was captured for the movement. It does not automatically prove legal compliance, settle a contractual dispute or verify information that was never captured in the first place.

A useful retrieval test

Pick five completed loads from a previous week. Ask somebody in the office to find the job, movement details and supporting evidence without contacting the driver. Time the process. That tells you whether the record is genuinely useful after delivery.
